Privacy Policy

This policy explains how ScanPro Nepal collects, uses, stores, and shares information when you use our Android app.

Effective: July 13, 2026 Last updated: July 13, 2026 Package: com.bikash.scanpro_nepal
Summary: OCR and most scanning tools run on your device. Cloud backup is optional and only for signed-in (non-guest) accounts. AI tools (summary, translation, flashcards, etc.) send the text you choose to process to a third-party AI provider. We do not sell your personal data.

1. Who we are

ScanPro Nepal (“the App”, “we”, “us”, or “our”) is a mobile application for document scanning, on-device OCR (Nepali/English), PDF tools, optional cloud backup, and optional AI-assisted study and document tools.

Developer / publisher: Bikash (ScanPro Nepal)
Android package name: com.bikash.scanpro_nepal

What we collect depends on how you use the App. Guest mode keeps data on your device; signed-in accounts can optionally sync to the cloud; AI features process text you submit.

2.1 Data we do not collect by default

  • We do not sell personal information.
  • We do not use third-party advertising SDKs in the App.
  • We do not require an account for core on-device scanning and OCR (guest mode is available).
  • We do not upload guest (anonymous) user content to cloud backup.
  • On-device OCR uses Google ML Kit and processes images locally on the device for text recognition.

2.2 Sensitive content in your documents

Scanned documents may contain sensitive personal information (IDs, exam papers, financial or medical text, etc.). That content stays on your device unless you (a) enable cloud backup while signed in, (b) use AI/translation tools on extracted text, or (c) share files yourself through the system share sheet or another app.

3. Device permissions

The App may request the following Android permissions:

Permission Purpose
Camera Capture document photos for scanning and OCR.
Photos / media / storage Pick images from your gallery, save scans and PDFs, and open PDFs shared into the App.
Internet Account sign-in, optional cloud backup/restore, AI tools, and related online features.

You can deny or revoke permissions in Android system settings. Some features will not work without the related permission.

4. How we use information

We use information solely to operate and improve ScanPro Nepal:

  • Provide scanning, image enhancement, OCR, PDF tools, history, folders, and sharing.
  • Authenticate users (email/password or guest) and protect account access.
  • Sync scans, folders, settings, and profile data for signed-in users who use cloud backup.
  • Power optional AI study and document tools (summaries, quizzes, translation, OCR cleanup, etc.).
  • Remember your preferences (theme, language, font size, auto-save).
  • Respond to support or privacy requests you send us.
  • Maintain security, prevent abuse, and comply with legal obligations.

5. Sharing & third parties

We do not sell your data. We share information only with service providers needed to run the App, or when you choose to share content yourself.

5.1 Service providers

Provider Role Data involved
Google Firebase
(Authentication, Cloud Firestore, Cloud Storage)
Accounts and optional cloud backup for signed-in (non-guest) users Email/auth credentials handling, user ID, profile metadata, settings, scan metadata, images/PDFs you back up
Google ML Kit On-device text recognition (OCR) Images processed locally on the device for OCR
OpenRouter (and models available through it) Optional AI completions for tools you run Text prompts/content you submit for AI or translation features

These providers process data under their own privacy policies and terms. Relevant policies include:

5.2 Sharing you initiate

When you use system Share, print, open-with, WhatsApp/Facebook share helpers, or export files, the content leaves the App under the policies of the destination app or service you select. We do not control those third-party apps.

5.3 Legal requirements

We may disclose information if required by applicable law, regulation, legal process, or governmental request, or to protect the rights, safety, and integrity of users and the App.

6. Storage & security

  • On device: Scans, folders, settings, and related data are stored locally (including Hive local storage and app directories).
  • Cloud (optional): For signed-in non-guest accounts, backup may store user-scoped data under paths such as users/{userId}/… in Firebase Firestore and Firebase Storage. Access is restricted so only that authenticated user can read/write their own data. Guest accounts are blocked from cloud backup by app design and security rules.
  • Passwords: Account passwords are processed by Firebase Authentication; we do not keep a readable copy of your password.
  • Transmission: Network features use encrypted HTTPS connections.

No method of electronic storage or transmission is 100% secure. We take reasonable measures appropriate to the App’s design, but we cannot guarantee absolute security.

7. Retention & deletion

  • Local data: Remains on your device until you delete scans/folders in the App, clear app data, or uninstall the App.
  • Cloud backup: Retained while your account exists and the data remains synced, or until you delete specific items / request full account deletion.
  • AI requests: Text is sent to the AI provider when you run a tool. We do not operate a long-term AI content archive in the App beyond local app caches you may generate while using features. Provider-side retention is governed by that provider’s policy.
  • Account deletion: You may request deletion of your account and associated cloud data by contacting us (see Contact). We will process valid requests within a reasonable time, subject to legal retention requirements. You can also remove local data by uninstalling the App or clearing storage in Android settings.

8. Children’s privacy

The App is a general-purpose productivity tool and is not directed at children under 13 (or the minimum age required in your country). We do not knowingly collect personal information from children under that age. If you believe a child has provided personal information, please contact us and we will take appropriate steps to delete it.

9. Your choices & rights

Depending on your region, you may have rights to access, correct, export, or delete personal data. Within the App and your device, you can typically:

  • Use guest mode without creating an email account (cloud backup disabled).
  • Choose whether to create an account and whether to use cloud backup features.
  • Avoid AI/translation tools if you do not want text sent to third-party AI services.
  • Delete individual scans, folders, or local files in the App.
  • Change or reset account email/password through account features and Firebase Auth flows.
  • Revoke camera/storage permissions in system settings.
  • Contact us to request account or cloud data deletion.

If you are in a jurisdiction with additional privacy rights (for example GDPR/UK GDPR or similar frameworks), contact us to exercise those rights. We will respond as required by law.

10. International data transfers

Our service providers (including Google Firebase and OpenRouter / model providers) may process data on servers located outside your country of residence, including in the United States or other regions. By using online features (sign-in, cloud backup, AI tools), you understand that your information may be transferred to and processed in those locations under the safeguards and policies of those providers.

11. Changes to this policy

We may update this Privacy Policy from time to time. The “Last updated” date at the top will change when we do. Continued use of the App after an update means you accept the revised policy, except where applicable law requires additional consent. Material changes may also be highlighted in the App or on this page.
